Return & Refund Policy

Our commitment to transparency, fairness, and client satisfaction in all our professional service engagements.

1. Scope of Services Covered

This policy applies exclusively to paid professional services provided by Transformatrix Global Pvt Ltd, including HR transformation projects, financial advisory engagements, statutory and compliance audits, and related consulting services. It does not cover unpaid consultations, complimentary assessments, or informal guidance. Only agreements with formal invoicing and payment terms qualify for refunds under these provisions.

2. No Refund on Completed Services

Once you have accepted final deliverables in writing or via electronic confirmation, no refund or credit will be granted for services fully rendered. This includes completed reports, audit findings, strategic plans, or any other final outputs. Acceptance constitutes acknowledgment that agreed-upon work has been performed to specification.

3. Partial Deliverables and Milestone-Based Projects

For engagements structured around milestones or phased deliveries, payments for completed and approved milestones are non-refundable. Fees allocated to future or uninitiated phases may be refunded upon written request, subject to deduction of any non-recoverable expenses already incurred and reasonable administrative costs related to project wind-down.

4. Cancellation by Client

Clients may cancel service engagements before any substantive work begins by providing written notice at least seven (7) business days prior to the scheduled start date. Upon timely cancellation, Transformatrix Global Pvt Ltd will issue a full refund of all fees paid, minus any direct costs already committed on the client's behalf, within fourteen (14) calendar days.

5. Cancellation Fees

Cancellations submitted fewer than seven (7) business days before the planned start date will incur a cancellation fee equal to twenty-five percent (25%) of the total project value. This fee compensates for resource reservation and planning expenses. The remaining paid amount, if any, will be refunded within fourteen (14) calendar days of cancellation confirmation.

6. Refund Request Procedure

To request a refund, please send a detailed written request to info@transformatrix.in, including your project name, invoice or order number, contact information, and reason for the request. We will acknowledge receipt within two (2) business days and initiate review. Incomplete requests may delay processing.

7. Evaluation and Approval

All refund requests undergo review by our Finance and Project Management teams. We assess the scope of work completed, costs incurred, and contractual obligations. Decisions to approve, modify, or deny refunds are made at our discretion, based on fairness, documented deliverables, and alignment with this policy's terms.

8. Refund Payment Method

Approved refunds are issued using the original payment method within thirty (30) calendar days of approval. If the original payment route is unavailable, we will collaborate with you to select an alternative mutually agreeable method, such as bank transfer or company credit.

9. Non-Refundable Fees and Expenses

Non-refundable items include fees for services already performed or deliverables already accepted, third-party costs such as travel, software licenses, and other out-of-pocket expenses, as well as any administrative or processing fees explicitly stated in the project agreement.

10. Credits Toward Future Services

In lieu of cash refunds, clients may opt to receive service credits equal to the refundable amount. Credits must be redeemed within twelve (12) months from issuance and apply only to future services provided by Transformatrix Global Pvt Ltd, excluding third-party expenses and administrative fees.

11. Quality Disputes

If you believe a deliverable is defective or incomplete, notify us in writing within five (5) business days of delivery. We will work diligently to correct or complete the work at no additional cost. Should remediation efforts fail, you may be eligible for a partial credit or refund proportional to the unfulfilled scope.

12. Force Majeure

No refunds or credits will be issued for delays or cancellations resulting from events beyond our reasonable control, including natural disasters, government actions, supply chain disruptions, or third-party failures. We will notify you promptly of such events and work to reschedule or reallocate services when possible.

13. Amendments to Policy

Transformatrix Global Pvt Ltd reserves the right to modify this Return & Refund Policy at any time. Changes take effect upon posting to www.transformatrix.in. Continued engagement with our services after updates indicates your acceptance of the new terms. We encourage periodic review of this policy.

14. Governing Law

This policy is governed by and construed by the laws of India. Any dispute arising under or relating to this policy shall be subject to the exclusive jurisdiction of the courts in Mumbai, Maharashtra, India. Parties consent to personal jurisdiction and venue there.
